The Related Properties feature in 365Villas’s Portfolio Manager allows you to create logical relationships between different properties. Whether you’re managing a collection of villas, or properties that share common features, this tool helps you keep your property structure organized, easier to navigate and list the same (portion of) property more than once without the risk of double bookings.
You can define two types of relationships: Parent-Child (hierarchical) and Sister (peer-based). These relationships provide structure and improve the visibility of how units are grouped, managed, or synced-making day-to-day operations more intuitive and efficient.
To begin managing property relationships go to Portfolio Manager > Related Properties. Use the Select Property dropdown to choose the primary property for which you’d like to define relationships.
Note: In 365Villas, each property – regardless of its future relationship – must first be created individually in 365Villas. You then establish their connections using the relationship logic within Portfolio Manager; creating sub-units under an umbrella unit during setup is not possible.
Also, a unit cannot simultaneously be part of both a Parent-Child and a Sister relationship. It must belong to either a Parent-Child relationship or a Sister relationship, but not both.
Parent-Child Relationship
This structure is used when one property (the Parent) oversees or contains several sub-properties (Children).
Example: A house where each floor can be rented independently as separate units (e.g., Floor 1 and Floor 2), or together as the full property (Entire House). In this case, each floor would be set up as a Child property, and the full house would be the Parent property that encompasses both, while maintaining individual calendars and availability per unit. This setup is helpful when marketing or renting individual rooms or configurations within a larger unit.
To set up a Parent-Child relationship:
- Select Parent-Child in the Property Relationship section.
- Choose the Parent property from the dropdown.
- In the Ungrouped Properties list, check the boxes for the Child properties.
- The selected Children will appear indented under the Parent property in the relationship list.
- Click Save to apply the relationship.
Note: The calendar logic for Parent-Child relationships has no impact on past reservations or availability.
Important: iCal Deactivation Timing
iCal connections can remain active during the initial setup of property relationships (e.g., Parent-Child or Sister-Sister) and may be removed afterward, once the new relationship logic is in place and confirmed by the system. This provides flexibility during migration, testing, or transition periods.
If you’ve previously managed property relationships using iCal sync and now wish to adopt the new, more robust and instantaneous relationship logic within Portfolio Manager, the recommended process is as follows:
- Set up the new property relationships using the Parent-Child or Sister structure.
- Navigate to the iCal page and manually remove any existing iCal links.
- When prompted with a validation pop-up, ensure you click “Yes” to confirm the removal. This step is important to finalize the transition and avoid conflicting availability data.
This approach ensures a smooth migration from manual iCal syncing to an integrated system logic that offers faster and more reliable calendar synchronization between related properties.
Sister Relationship
Use this option when you want to list the same physical property multiple times, with variations in layout or configuration-for example, offering a villa as either an 8-bedroom or 10-bedroom rental.
This setup allows you to manage availability and pricing independently for each listing, while ensuring they remain connected for calendar and operational logic.
Example: A villa can be rented as an 8-bedroom or a 10-bedroom version, depending on guest needs. Each configuration is created as a separate listing (Sisters), but they refer to the same property.
To set up a Sister relationship:
- Select Sister in the Property Relationship section.
- Choose the base property from the dropdown.
- Select the Sister properties from the Ungrouped Properties.
- The chosen properties will be listed as Sisters in the relationship view.
- Click Save to confirm.
Additional Features
- Ungrouped Properties List: Displays all properties not currently assigned to a relationship.
- Property Search: Quickly locate specific properties using the search bar.
- Select All Properties: Use this checkbox for bulk selection of ungrouped properties.
- Include Property Blocks in Sync: This option addresses a key operational consideration: If one property is blocked, should that block be treated like a booking and automatically applied to its related properties? For example, if the 10-bedroom villa is blocked for maintenance (e.g., repainting a room), should its sister property– the 8-bedroom version of the same villa- also be blocked? In some cases, the answer might be no, especially if the room being painted is one of the two extra bedrooms not included in the 8-bedroom setup. In other cases, you may want both listings to reflect the block. This setting allows you to choose the most appropriate behavior based on your operational and booking strategy.
